Give hours and deliverables their own place

A virtual assistant may handle inboxes, research, calendar administration or customer follow-up during the same day. A time record can show the recorded working period. A task checklist explains what was delivered and what remains blocked. Keep both records available so a client update answers more than how long somebody was signed in.

Agree a review process before tracking begins

Tell each assistant what the company collects, when tracking is expected, who can see records and how to raise a missing or inaccurate entry. Explain how meetings, research and approved work away from the computer will be recorded in your own workflow. A shared understanding makes an exception easier to resolve.

Agree the working schedule separately from the response time promised to a client. An assistant may work a planned block while another teammate covers a different time zone. Review attendance against that arrangement rather than assuming every employee should appear online during the manager’s local office hours.

Use a daily exception review

Check the clock-in record and tracker connectivity separately. If a device has stopped reporting, contact the assistant and establish what happened before treating the gap as an absence. Review breaks and missing clock-outs while the person can still explain the sequence of events.

Then look at the work record alongside the assigned tasks. A long research session may involve reading with few input events; a call may happen while a support tool remains open. Application activity and screenshots provide limited context. Ask a specific question about an interval rather than labelling the entire day from one metric.

Keep client reporting clear

Before sending a client update, reconcile the period covered, the recorded time, any agreed exclusions and the actual deliverables. StafflyTracker reports and exports can support this preparation, but the agency remains responsible for its billing agreement, rounding rules and the explanation it sends.

If an assistant works for several clients, ask for a demonstration of your exact reporting requirement. Do not assume that a general employee time record automatically allocates hours by client or integrates with your project tool. Keep your existing allocation process until the required workflow has been demonstrated and agreed.

Evaluate monitoring with your clients’ work in mind

Virtual assistants can encounter customer messages, calendars, payment details or confidential drafts. Decide what information reviewers need and which collection settings are appropriate before installation. Use fictional examples during a demonstration and discuss access and retention with the provider.

A remote agency should also define how a client receives a report. A customer asking for a progress update does not automatically need access to every employee record. Check the available permissions and use the smallest useful report for the purpose. Confirm the process before promising a particular client portal or sharing option.

Test one real working week

Choose a representative pilot with research, meetings, routine administration and a handover. Include one missed entry and a connection interruption as review scenarios. Compare the records with the assistant’s own account of the week and check whether the manager can explain the differences consistently.

The desktop tracker currently supports 64-bit Windows 10 and Windows 11; managers use a web dashboard. Native Mac and Linux tracking agents are not available.
