An accounts receivable follow-up specialist can spend time on a payer call, researching an account or waiting for a response. A charge-entry colleague may work steadily inside one application. Their computer activity patterns can look different even when both are doing useful work. Start with the responsibilities of each role before interpreting the records.

Your existing billing system remains the source for claims, collections, denials and quality outcomes. This page describes a possible management workflow, not an integration with your billing platform.
Review shift coverage before reviewing activity
Begin a daily review with the scheduled team and the people who have clocked in. Then check whether their trackers are connected and reporting. An open clock-in session and a connected device are separate signals; a session alone does not confirm that new activity is arriving.
For an overnight team, agree which date identifies a shift and which time zone a supervisor uses when reviewing it. Include a shift that crosses midnight in the demonstration. Check the displayed clock-in, break and clock-out against the same example before relying on a daily export. Keep the agreed roster available alongside the software.
Separate attendance exceptions from performance questions
Use attendance, leave and correction records to identify missing entries that need discussion. A missed clock-out, approved absence or connectivity interruption should have a clear explanation before the record is used in a management report. Ask the employee for context while the workday is still recent.
Use your established quality checks to assess billing work. Recorded hours do not establish whether a claim was accurate, a denial was resolved or a follow-up was effective. Review the quality measure and the time record together without turning mouse or keyboard activity into a substitute for the actual result.
Choose the information your office needs
Write down who will review attendance, who needs access to application activity and whether screenshots are suitable for the devices involved. Billing screens can contain confidential information. Ask the provider and your own security team to assess collection, access, retention and contractual requirements before using the product with real records.
This introduction does not assert HIPAA compliance, automatic patient-data redaction or a connection to any electronic health record or billing platform. Use fictional information for a demonstration. If a required safeguard or integration is essential, obtain a specific answer before expanding a pilot.
A focused demonstration for a billing supervisor
Bring a fictional shift roster with a regular shift, an overnight shift, one break, an approved absence and a missed entry. Ask to follow those examples from the employee time record through the supervisor review and export. Include a payer-call interval so you can see how the team will explain work with little keyboard activity.
Also test department application classifications with the tools your roles actually use. An application classification adds context; it does not certify the quality of the work. Agree who maintains those classifications when a new client or new workflow changes the team’s tools.
Check fit before rolling out
The current desktop tracker is for 64-bit Windows 10 and Windows 11 computers. Managers and administrators use a web dashboard. Confirm your device mix, shifts, reviewer access and export needs with the team. Native Mac and Linux tracking agents are not currently offered.
Start with a small, explained pilot and record the questions it must answer. Review exceptions with employees, compare the export with the roster and decide whether the records are useful enough to expand.
