A receptionist vacancy often begins with a complaint: calls are missed, visitors wait, or the administrator keeps leaving a spreadsheet to open the door. Before hiring, record when those interruptions happen. The right reception brief is a coverage plan, not simply a request for someone with good English.
This guide is for employers in Islamabad and Rawalpindi arranging a staffed front desk. It complements Staffly's administration and front-office recruitment service. The example below is a planning exercise, not a claim about a particular client's office or confirmed candidate availability.
Map the desk's actual working day
List the first visitor arrival, telephone opening time, busiest meeting periods and last expected collection. Distinguish the building's opening hours from the time one person will be employed to cover the desk. An office open for a long day may need a second trained person to cover breaks and the edges of the schedule.
For three ordinary working days, record counts rather than impressions: incoming calls, unexpected visitors, booked appointments, couriers and tasks requiring the receptionist to leave the desk. Do not put visitor identities or confidential call details into a recruitment brief. The pattern is enough to discuss staffing.
| Period | Demand to measure | Coverage decision |
|---|---|---|
| Opening | First calls, keys and appointment list | Who opens and who handles an early arrival? |
| Morning meetings | Simultaneous calls and visitors | Which administrator can assist at a peak? |
| Lunch or rest break | Deliveries and unexpected calls | Name the relief person and handover method |
| Late afternoon | Collections, follow-up calls and meeting changes | Decide what must finish before the shift ends |
| Closing | Final visitors and access handover | Define who authorises a late meeting |
A desk that receives six visitors together once a week has a different problem from one receiving visitors throughout every day. The first might need planned cover during that meeting. The second may require a different permanent staffing arrangement. Do not use a quiet trial morning to estimate the entire workload.
Separate reception from administration
Reception covers greeting, directing calls, notifying hosts, maintaining the agreed visitor process and keeping appointments organised. Administration may include document preparation, filing, data entry and supplier coordination. Combining them can work when the total workload fits the shift and the priorities are clear.
Write a rule for interruptions. For example, an arriving visitor takes priority over routine filing, but a receptionist should not abandon a live confidential call without an agreed transfer. If filing has deadlines, assign a quiet block or a backup colleague rather than treating it as something that happens automatically between calls.
Also identify exclusions. Handling payroll, authorising refunds, collecting substantial cash, granting building access or maintaining sensitive employee files should not quietly become reception duties after hiring. Those tasks need separate instructions, permissions and assessment. For a comparison of roles, read the existing office boy or receptionist guide.
Assess the work with a short simulation
Use fictional names and an invented diary. Give the candidate a caller asking to reschedule, a visitor whose host is in a meeting, and a courier with an incomplete reference. Ask them to describe their order of action, write a short message to the host and update the appointment record.
Judge accuracy, courteous communication and appropriate escalation. Fluency is useful when the actual callers require it, but an impressive accent is not a substitute for taking down the correct number or checking a visitor's purpose. Assess the languages used at your workplace and the software tasks the person must perform.
Use the same instructions for each candidate. Record observable evidence: “confirmed the revised time before saving” is more useful than “seemed polished.” If the exercise includes productive work or an on-site trial, agree duration, payment and supervision beforehand. Never provide real customer files merely to make a test feel realistic.
Prepare the first-day handover
The desk needs a contact directory, approved greeting, visitor process, meeting-room rules, emergency escalation contact and instructions for unanswered calls. Assign a supervisor who can answer questions. Confirm which systems the new employee can access and who can approve changes.
Have the relief person practise the handover too. A break plan that depends on someone who does not know how to transfer calls is not ready. Keep a short shared log of unresolved messages, expected visitors and pending collections; avoid duplicating personal information into several informal notebooks.
What to send Staffly
Send the location or sector, working days, start and finish time, languages, typical call and visitor volume, salary budget, software used and target start date. State whether the desk is shared and whether any evening cover is required. For an office in DHA or Bahria Town, include the phase and access arrangements privately so travel feasibility can be discussed.
Staffly provides recruitment and direct placement; your business selects, employs and pays the employee. Review the placement fee and written replacement terms before confirming a hire. Availability and interview timing are checked against the brief.
