Hiring Guide for Employers

An Office Boy on Payroll or a Housekeeping Contract? Islamabad Offices Compared

Hiring office boys in Islamabad? Discuss your staffing requirement. This article is for employers, not a job vacancy.

A small Islamabad office can employ one man who does everything, or contract the cleaning and lose the pantry, the errands and the deliveries. Where each fits.

Small and medium offices in Islamabad — the ones in the Blue Area towers, the converted houses in F-7 and F-8, the serviced floors in G-8 — face this decision when they reach about eight or ten people, and it is usually decided by whoever is handling admin that month.

The two options are not equivalent. A housekeeping contract buys cleaning. An office boy buys cleaning plus most of the small operational work that otherwise lands on your staff, and that second half is where the actual value sits.

What a housekeeping contract covers

A cleaner or a small team arrives at a fixed time — usually early morning before the office fills, or evening after it empties — and cleans: floors, desks, glass, bathrooms, kitchen, bins. They bring their own materials and equipment. They leave.

The advantages are real. It is administratively simple: one invoice, no payroll, no leave, no recruitment. Cover is the contractor's problem, so when somebody is ill, somebody else comes. Standards are usually consistent because the work is defined and repetitive. And for a small office of five or six people, it is cheaper than a salary.

What an office boy covers that a contract does not

The pantry through the day. Tea and coffee for staff and for visitors, washing up as it happens rather than at the end of the day, keeping the kitchen usable at four in the afternoon rather than clean at eight in the morning.

Meeting rooms. Set up before a meeting, cleared after, water and glasses put out, the projector cable found. In an office that meets clients, this is a visible part of how the firm presents itself.

Errands. Bank deposits, document drops, courier collection, buying supplies, paying a bill, fetching lunch. In Islamabad this matters more than in many cities because so much administrative business still requires somebody physically going somewhere — a government office, a bank branch, a courier counter.

Deliveries and reception support. Receiving parcels, signing for things, letting maintenance people in and supervising them.

Supplies. Noticing that the printer paper is low before it runs out, that the water cooler bottles are finished, that the tea has run down.

Ad-hoc physical work: shifting furniture for an event, carrying boxes, helping set up a new desk.

None of that is in a cleaning contract, and in an office without an office boy, all of it is done by whoever is most junior and least able to refuse.

The cost comparison at different office sizes

Under six people. A cleaning contract, two or three visits a week, is almost certainly correct. There is not enough pantry and errand work to occupy a person, and the errands can be absorbed.

Six to fifteen people. This is where an office boy usually wins clearly. The pantry alone is a real daily workload at this size, errands are constant, and the cost of a single salary is modest against what it removes from your billable staff. Our office boy salary guide gives the band.

Fifteen to forty. Usually an office boy plus a cleaning contract, or two office boys. At this size the cleaning genuinely needs proper equipment and time that one person cannot give alongside pantry duties, and the honest arrangement is to buy both.

Above forty. A facilities arrangement — contracted cleaning with your own support staff for the operational work.

What you lose with a contract

Availability during the day. This is the whole thing. A contract cleaner comes and goes; a problem at two in the afternoon has nobody attached to it.

Familiarity. A contracted team rotates, and rotating people do not learn that the third-floor meeting room needs the blind adjusted, or which cupboard the good cups are in, or that the managing partner takes his tea without sugar.

Confidentiality, to a degree. Cleaning staff in an office have access to everything on every desk. A contracted rotating team increases the number of people with that access, and while the risk is low, it is not zero, and it is worth weighing in a firm handling client documents.

Flexibility. You cannot ask a contract cleaner to go to the bank.

What you lose with an office boy

Cover. When your office boy is ill, or takes leave, or goes to his village for a wedding, the office has no pantry, no errands, and no cleaning unless you have arranged something. Most offices do not, and discover it at the worst time.

Cleaning depth. One man with a mop and a cloth is doing daily maintenance, not proper cleaning. Bathrooms in an office with a dozen users need more than a wipe, and floors need machine cleaning periodically. Offices relying entirely on an office boy for cleaning tend to look acceptable and be less clean than they appear.

And administration: recruitment, payroll, leave, and management. It is not heavy, but somebody owns it.

The arrangement most Islamabad offices settle on

An office boy for the working day, plus a contracted deep clean monthly or quarterly.

He handles the pantry, the visitors, the errands, the deliveries, the meeting rooms and daily cleaning. The contract handles what daily cleaning cannot reach — floors properly machine cleaned, bathrooms deep cleaned, glass, and the accumulated grime that a daily wipe never touches.

This combination costs modestly more than either alone and produces an office that is both functional during the day and actually clean.

Islamabad-specific factors

Building services vary enormously. Many Blue Area towers and serviced floors include common-area and sometimes in-suite cleaning in the service charge, which changes the calculation completely — check what you are already paying for before buying it again. Offices in converted houses in the sectors get nothing and need everything.

Errand geography matters. An office in Blue Area is a short distance from banks, courier offices and most of the government departments you might need, and an office boy on foot or on a bike covers a lot of ground cheaply. An office in a newer development further out spends far more time on each errand, which is worth accounting for when deciding whether the role justifies itself.

Visitor volume is the third factor. Firms with client meetings — law, consultancy, anything advisory — get disproportionate value from an office boy, because the tea, the meeting room and the front-of-house presentation are all part of how the firm is judged.

Defining the role so it works

Office boy roles fail the same way household roles do: the job grows and nobody trades anything for the additions.

Write the day down. Opening routine, what happens before the office fills, pantry expectations through the day, the cleaning items and their frequency, meeting room procedure, and how errands are requested — because "anyone can send him anywhere" is how an office boy spends his day outside the office and nothing gets cleaned.

Set an errand rule: requests go through one person, are written down, and are batched. That single change is the difference between an office boy who covers the role and one who is permanently out on somebody's personal errand.

And set up a petty cash system with receipts from day one. Our petty cash and receipt guidance covers the version that works — a small float, receipts for everything, reconciled weekly. Introduced later it looks like suspicion; introduced at the start it is simply how the office runs.

Verification for an office role

An office boy has access to every room, every desk, and often keys to the premises, which makes the checks worth doing properly even though the role is junior.

CNIC verified against the original document. A permanent address recorded. A previous employer spoken to directly, with a specific question about cash handling and reliability. And a short paid trial covering an opening routine, a meeting room setup, and one errand with a receipt returned.

Our verification process sets out what we confirm before putting a candidate forward, and our office boys page covers how the role is usually scoped for Islamabad offices.

Frequently Asked Questions

Should the office boy hold keys to the office?

If he opens in the morning, yes, and it should be recorded — which keys, issued when, and returned when he leaves. Keep the alarm code separate from the key holder where you can, and change it when staff change.

Can one office boy serve two floors or two offices?

Two floors of the same firm, usually yes. Two separate firms sharing him is a common cost-saving arrangement that works only if both agree in writing whose instructions take priority, which almost never happens and is why these arrangements produce friction.

How do we cover his leave?

Decide in advance: either a standing arrangement with a cleaning contractor for those days, or an agreement that the pantry runs on self-service for a week. Both are fine; being surprised is not. Everybody is entitled to leave, and offices that treat it as an inconvenience rather than a plan lose good staff.

Is it cheaper to ask the building's cleaning staff to do pantry work?

It is cheaper and it rarely works, because they answer to the building rather than to you and their time is allocated elsewhere. Informal arrangements with building staff also tend to create obligations that surface later.
