Before recruiting an office cashier in Islamabad, decide who is responsible for petty cash while it is held for an approved purpose. That question is different from who approves the purchase or who later reviews the expense. A cashier needs a clear custody role so money prepared for one recipient does not become an informal pool used by whoever asks next.
Your finance lead should set the actual controls and approval process. The hiring brief should explain how the cashier follows those controls, records transfers of custody and reports exceptions. This article focuses on the person holding and issuing approved advances, rather than retail-counter transactions or accounting treatment of receipts.
Separate three responsibilities
Name the cash custodian, the spending approver and the person receiving an advance for a particular task. One person may perform more than one function in a small business, but the decision boundaries still need to be explicit.
The approver decides whether a request may proceed under the business's rules. The custodian holds and issues the approved amount through the agreed process. The recipient acknowledges what they receive and follows the instructions for returning unused funds and evidence. None of those steps should be inferred from a casual statement that “accounts will handle it.”
Describe whether the cashier also reviews expense evidence or only passes it to the finance owner. If the role includes broader accounting duties, state and assess them separately. Holding money for an approved request does not automatically grant authority to change the request.
Give every prepared advance a named recipient
A request should identify the person authorised to receive it. If that person is unavailable and a colleague offers to collect it, the cashier needs the employer's rule for a changed recipient. Familiarity with the colleague should not replace the required confirmation.
Likewise, preparing an envelope or record does not prove that the recipient took custody. The record should distinguish money allocated for an advance from money actually handed over under the supplied process. That distinction matters when an errand is cancelled before collection.
Use only the necessary identifiers in the working record. The employer should determine access and storage; a hiring exercise can use fictional references without any actual cash or private employee details.
Use a custody-only interview exercise
Give the candidate a fictional policy and three approved requests. Do not ask them to calculate expenses or decide whether a purchase is justified. The test concerns the transfer of responsibility.
| Request | Supplied event | Custody question |
|---|---|---|
| A-11 | Amount prepared; named recipient has not arrived | Is it still held by the custodian? |
| A-12 | Different colleague asks to collect | What confirmation permits a recipient change? |
| A-13 | Recipient returns an amount; receiver has not checked it | What can be acknowledged now, and what remains unconfirmed? |
Ask for a status note for each. A careful candidate does not mark A-11 issued simply because it is ready. They do not treat A-12 as authorised collection without the supplied approval. For A-13, they follow the exercise's receipt check and distinguish physical arrival from a confirmed amount.
Introduce a cancelled errand
Tell the candidate that A-11 is cancelled before collection. Ask how the record changes. The money never left the custodian, so the explanation should not imply that the recipient returned it. The candidate should follow the approved cancellation process and preserve the actual sequence.
This is a useful test of factual language. Two routes can lead to the same final amount held while representing different events. A record saying “returned” when no handover occurred creates a misleading history and may confuse a later reviewer.
Now add a manager's request to use that prepared amount for another errand. Ask what new instruction is required. The candidate should not silently change the original recipient or purpose merely because the money is physically available.
Check returned-funds handover separately from expense review
For A-13, ask the candidate to explain what their acknowledgement establishes. It may establish the amount received under the agreed check. It does not necessarily establish that every expense document is valid or that the original advance is fully reconciled by the finance reviewer.
The cashier should be able to direct the recipient to the correct next step without declaring the entire transaction settled beyond their authority. A concise note can identify the amount received, reference and outstanding review owner under the supplied procedure.
If the reported amount and observed amount differ, the candidate should preserve the discrepancy and seek review. They should not invent a balancing entry, assign blame or promise a personal repayment to make the conversation end.
Make the real role workable
Explain who provides approved requests, who can change a recipient and who reviews unresolved returns. Give the cashier a backup contact when the ordinary approver is unavailable. If nobody can answer those questions, the hiring brief is not yet ready.
During onboarding, rehearse prepared-but-uncollected, changed-recipient and returned-but-unreviewed cases with fictional materials. Review whether the employee's status language describes what actually happened.
For accounts recruitment in Islamabad, share the custody scope and finance reviewer. Compare administration staffing if the work is mainly coordinating requests rather than holding cash. Confirm placement pricing separately from salary. The role should give the cashier clear responsibility for the funds they actually hold and transfer, with purchase approval and expense decisions assigned explicitly.
