A stock variance exercise should show how an inventory-accounting candidate investigates a difference before explaining it. For an Islamabad employer, the goal is not to reward the first plausible story about missing stock. It is to observe whether the candidate checks the scope of the records, distinguishes timing from quantity and presents unresolved evidence to the right reviewer.
The business's finance and inventory leads must define technical requirements and accounting treatment. Use this fictional exercise to assess preparation and reasoning, with those leads reviewing the answer. It is not a substitute for a specialist assessment where the role requires one.
Give the count a defined boundary
State which item, location and period the exercise covers. A count from one store cannot be compared fairly with a record combining two locations. Explain whether the sample movements are confirmed and what the candidate should do with an incomplete document.
Use one item initially. Multiple item codes can test attention, but too many can obscure whether the candidate understands the basic comparison. Provide the tools normally available in the role, including a calculator or spreadsheet.
Build a variance with more than one possible cause
In a fictional record, the opening quantity is 50 units, confirmed receipts are 20 and recorded issues are 18. The expected quantity from those supplied movements is 52. A count sheet shows 49. These are invented quantities for assessment.
| Supplied information | What it suggests | What it does not prove |
|---|---|---|
| Expected quantity: 52 | The movement record produces this figure | That every movement was recorded correctly |
| Counted quantity: 49 | The count sheet reports three fewer | Why the difference exists |
| Unsigned issue note for three | A possible explanation | That the issue actually occurred or was authorised |
| Second location mentioned in an email | A possible scope question | That any of the units are there |
Ask the candidate to calculate the difference and write an investigation plan. They should not label it theft, approve an adjustment or assume that the unsigned note resolves the matter. The exercise is designed to test the gap between noticing a possible explanation and establishing it.
Ask which checks come first
A useful answer confirms the item and location, checks the movement references and asks the appropriate owner about the unsigned note. The order may depend on the supplied process. Look for an efficient sequence that uses available evidence before requesting unrelated information.
Ask what would change if the issue note were later confirmed. The candidate should explain how that evidence affects the comparison under the exercise rules, while recognising that any record correction still follows the authorised procedure. Avoid treating an explanation as automatic permission to change the system.
Test the written explanation
Require a short note for the finance or inventory lead. It should show the expected quantity, counted quantity, difference and current evidence. It should label the issue note as unconfirmed until the owner responds.
A strong note might say that the three-unit difference may relate to the outstanding issue note, with confirmation requested from the designated owner. It should not say “variance resolved” simply because the numbers happen to fit. Numerical coincidence is not complete evidence.
Ask the candidate to explain the limitation of the count sheet itself. A recorded count may need confirmation of scope or method. The candidate need not challenge every document indiscriminately, but should recognise when the exercise explicitly leaves a relevant uncertainty.
Match the role to the technical need
Some employers need a person who maintains stock records and prepares differences for review. Others need an experienced accountant responsible for broader inventory reporting. These are different briefs. Name the software, reporting outputs and level of independent judgement expected.
Have the appropriate finance lead assess qualifications and technical competence. Do not infer specialist capability solely from a correct simple arithmetic result. The exercise provides evidence about one workflow, not every responsibility that may sit behind an inventory-accounting title.
Plan coordination with stores staff
The new employee will need timely information from receiving, dispatch or storekeeping colleagues. Explain who confirms movements and who resolves conflicting documents. A role can fail even with a capable candidate if no one owns those inputs.
During the first supervised period, review a small sample of differences together. Track whether delays arise from missing records, unclear references or training needs. Use the findings to improve the process rather than simply demanding that the variance list become empty.
For accounts recruitment in Islamabad, include the inventory scope and reviewer. If the work is primarily physical stock administration, compare operations staffing. Confirm placement pricing separately from salary, and agree the technical assessment with your own finance and inventory leads before interviewing.
