A first-month review should show whether an office coordinator is learning the work and producing usable results. In a Rawalpindi business, a general question such as “Are you settling in?” is worth asking, but it does not reveal whether requests are followed through or records can be used by the next person.
Review a small set of work samples against the duties agreed before hiring. Separate training needs from unclear instructions and workload problems. A new employee should not be assessed against responsibilities that were added informally without explanation.
Return to the original brief
Bring the agreed task list, reporting line and working hours to the review. Identify which duties the employee has actually been trained to perform and which remain supervised. If management changed the scope, acknowledge that before discussing performance.
An office coordinator might maintain schedules, follow up approved supply requests and organise service appointments. Those outcomes are different from reception coverage, accounting approval or technical maintenance. Check that the role has not quietly expanded to include work outside its authority.
For an employee attending more than one Islamabad or Rawalpindi location, also review the practical reporting arrangement. Delays caused by conflicting site instructions should be discussed as a planning issue, not automatically treated as poor organisation.
Select a balanced set of samples
Choose a few completed tasks and at least one unresolved item. Do not select only the most successful or most difficult examples. Explain in advance that the review will use ordinary work records and give the employee an opportunity to provide context.
| Work sample | Review question | Possible process issue to consider |
|---|---|---|
| Completed supply request | Was approval obtained and delivery checked? | Approval route was unclear or unavailable |
| Meeting arrangement | Did participants receive consistent information? | Several managers changed the time independently |
| Open maintenance request | Is the current owner and next action visible? | External provider has not supplied a response |
| Handover note | Can another colleague continue the task? | No agreed location or format for handovers |
A task still open after a month is not automatically evidence of poor performance. Ask what the coordinator could control, what they did and what decision remains elsewhere. Equally, a closed label is not enough if the requested outcome was never checked.
Discuss one example in detail
Take a fictional illustration: a supply order was approved, delivered and marked complete, but the receiving colleague reports that one item is missing. The review should reconstruct the steps. Was the delivery checked against the approved request? Was a discrepancy recorded? Did the coordinator know who should confirm receipt?
The answer may reveal a missed check by the employee or a process in which nobody owns receipt confirmation. The improvement should match the cause. Requiring more reminder emails will not solve an undefined completion rule.
Ask the employee what they would do differently next time. Look for a practical change that can be observed, such as adding a receiving confirmation before closing the request. Avoid demanding vague commitments to “be more proactive.”
Include feedback from people who use the work
Ask colleagues specific questions about handovers and records. Could they find the information? Was the next action clear? Did the coordinator seek approval at the right point? These questions produce more useful evidence than a popularity rating.
Give the employee a chance to respond to conflicting feedback. One manager may prefer frequent updates while another finds them excessive. Management should agree a workable reporting standard rather than expecting the coordinator to satisfy incompatible preferences.
Do not circulate sensitive employee feedback unnecessarily. Keep the review within the employer's appropriate management process and record only what is needed for agreed development and decisions.
Agree a small improvement plan
Choose a few concrete actions with support and a review point. For example, the manager may provide a current approval list, the employee may use a consistent handover field and both may review a sample of completed requests together.
Distinguish an essential correction from a longer-term development goal. Learning an advanced spreadsheet feature may be useful, but it should not distract from accurately recording an unresolved request if that is the immediate problem.
Any change to duties, hours or employment arrangements should follow the employer's applicable process and advice. An operational review is not a substitute for understanding contractual or legal requirements.
Recognise reliable work as well as visible effort
A coordinator may prevent problems quietly by confirming details early. Record that contribution. The number of calls made or the appearance of constant busyness does not necessarily indicate a better outcome.
Also ask what regularly blocks progress. Missing information, competing instructions and inadequate access can reduce performance even when the employee is careful. A fair review assigns actions to management as well as to the coordinator.
For a new vacancy, use administration recruitment in Rawalpindi with duties that can later be reviewed in this way. Staffly's hiring process helps prepare the brief. Review placement pricing and the replacement terms separately; replacement support under written terms does not remove the need for clear onboarding and supervision.
