A delivery note may list ten items while the receiving check confirms eight. An Islamabad stock assistant needs to record that difference accurately, but should not be expected to negotiate a supplier settlement or change purchasing records independently. Define the handover from observation to decision before hiring.
This guide focuses on operational coordination. The purchasing and finance owners decide commercial and accounting treatment under the company's process. The assistant provides a traceable record of what was received and what remains unresolved.
Define the receiving evidence
Explain how identity and quantity are checked, who performs any specialist inspection and which document references are retained. Staff should know whether a delivery is accepted in full, accepted with an exception or held for an authorised decision.
Do not ask a candidate to infer shortage rules from supplier paperwork they have never seen. Provide a fictional example and the employer's approval route. The assessment should test careful recording, not familiarity with one supplier's forms.
Review an invented delivery
A fictional office expects stationery from a supplier. The table contains only illustrative quantities.
| Item | Expected | Confirmed received | Difference |
|---|---|---|---|
| A | 10 | 8 | Two units unresolved |
| B | 5 | 5 | No quantity difference recorded |
| C | 3 | 3 boxes with unclear unit label | Quantity basis requires clarification |
Item C is not necessarily complete just because the number of boxes equals the expected number. The unit must match. Item A requires a shortage record, while B can follow the normal completion process if other required checks are satisfied.
Give each exception an owner
The assistant records the reference, observation and question. Purchasing contacts the supplier or directs the next step. If a later delivery is promised, show it as expected rather than already received. This distinction prevents available stock from being overstated.
When the remaining items arrive, connect the receipt to the original exception. Without that link, the new delivery may look like an extra order or the shortage may remain open indefinitely. The assistant should not close the case solely because a supplier said it was resolved.
Preserve the original observation
If a later review explains the discrepancy, add the confirmed outcome instead of deleting the initial record. For example, the purchasing owner may establish that two units were intentionally scheduled separately. That explanation changes the next action but does not mean the original eight-unit receipt was recorded incorrectly.
Avoid wording that alleges dishonesty when the evidence only shows a difference. A neutral note is easier to investigate and less likely to create unnecessary conflict between colleagues or suppliers.
Test the handover message
Ask a candidate to write a short request to purchasing using the table. It should identify Item A's short quantity and Item C's unit ambiguity separately. A single message saying “delivery wrong” leaves the decision owner to reconstruct the problem.
Then ask what they would tell a colleague requesting all ten units of A immediately. The candidate should state the confirmed availability and escalate the unmet requirement. A supplier promise does not create physical stock.
Review repeated exceptions with management. They may reflect unclear orders, inconsistent units or receiving errors as well as supplier performance. The assistant's role is to supply accurate evidence for that review. Include the responsibility in corporate staffing, agree training through how hiring works, and review placement fees independently of purchasing disputes.
