A vehicle handover record should help the next authorised person understand what happened, what remains open and who needs to act. For an Islamabad employer recruiting a driver, a short written exercise can reveal whether the candidate communicates those distinctions clearly. It cannot establish driving skill or diagnose the vehicle.
Assess the usefulness of the record rather than the candidate's handwriting style or ability to produce a long report. A few accurate facts with a clear next action are better than a detailed note that confuses assumptions with observations.
Choose a handover situation relevant to the job
A family driver returning the car to an employer may need a different record from a company driver handing it to another employee. Describe the actual receiving person and the reason for the handover. Do not ask candidates to design an elaborate fleet system for a single household car.
Identify the information the employer genuinely needs: authorised use completed, keys or documents transferred through the agreed process, outstanding requests and observations requiring review. Keep sensitive passenger details out of the exercise.
Use fictional information. There is no need to show a candidate private travel records, a real family's schedule or another employee's documents. The assessment concerns communication, not access to customer information.
Distinguish facts from conclusions
A driver may report that a message appeared or that a scheduled task was not completed. That is different from declaring a technical cause or confirming a repair. The record should preserve the distinction.
Explain that technical concerns go through the employer's appropriate vehicle-assessment process. The candidate is not being tested as a mechanic. Reward a factual account and a clear escalation rather than an unsupported diagnosis that sounds confident.
Likewise, an item described as “done” should identify the relevant outcome. Delivering the car to a service location does not necessarily mean the service is complete. Returning keys does not automatically mean the receiver confirmed every outstanding issue.
A fictional record to review
Give the candidate this deliberately imperfect note: “All fine. Service sorted. Keys left. Tomorrow same.” Then provide the underlying facts: the car was delivered for a booked appointment, the provider has not confirmed completion, keys were handed to an authorised contact and tomorrow's collection time is undecided.
| Vague phrase | Missing distinction | Useful information to add |
|---|---|---|
| All fine | Observation versus general reassurance | Any relevant unresolved item, without guessing a cause |
| Service sorted | Appointment attended versus work completed | Provider confirmation still awaited |
| Keys left | Location versus acknowledged custody | Authorised recipient and agreed handover status |
| Tomorrow same | Assumption versus confirmed instruction | Collection time needs employer confirmation |
Ask the candidate to rewrite the note briefly. A successful answer makes the uncertainty visible. It does not invent confirmation merely to make the record look complete.
Ask how the record reaches the right person
A good note is ineffective if nobody receives it. Ask whom the candidate would notify and how they would know an important unresolved issue had been acknowledged. The employer should provide a suitable communication route rather than expecting the driver to chase several people.
Discuss when reporting happens. Communication must fit safe working practice and the actual task; do not demand immediate messaging while driving. The employer should make clear that updates can wait until an appropriate safe opportunity or be handled through the agreed alternative.
If the employee needs support with a particular written format, distinguish that training need from an inability to communicate. A short voice handover followed by an authorised record may suit some arrangements, provided essential information remains clear and accessible.
Combine the exercise with separate checks
The exercise gives narrow evidence about accuracy and judgement. It does not replace relevant licence checks, references, practical driving assessment or confirmation of vehicle authorisation. Review those through the appropriate placement process.
Ask about a previous handover in general terms without requesting confidential records. A candidate can explain how they handled an unresolved instruction without identifying a former passenger or sharing private travel details.
During onboarding, use the first few real handovers to refine the format. Remove fields nobody uses and clarify words that cause confusion. A system that takes excessive time for routine information may not be maintained reliably.
Review omissions fairly
If a record misses something, establish whether the field was explained and whether the driver had the information. A person cannot report a provider decision they were never told. The employer's communication process matters alongside the employee's attention.
Discuss driver recruitment in Islamabad with the actual handover requirement included. Staffly's hiring process and verification information cover other parts of selection. Review pricing separately from the vehicle's operating costs. A useful handover makes the next decision easier without claiming more certainty than the driver has.
